About the Role

MWH is seeking a qualified Proposal Coordinator. You'll play a vital role in developing and producing compelling proposals and marketing content that showcase our firm's expertise and win new business.

Be a driving force behind winning proposals and our marketing initiatives! In this dynamic role, you'll combine your creative flair with organizational excellence to develop compelling proposals, statements of qualifications (SOQs), interview presentations, and marketing materials. If you thrive in a fast-paced environment, have a keen eye for detail, have a background in graphic design, possess excellent communication skills, and are comfortable meeting set deadlines then this is the perfect opportunity for you. This position will report directly to the Senior Manager of Pursuits and Creative Content.

Essential Functions

  • Proposal Focused:
    • Support the analysis of RFQ/RPF documents.
      • Extract key requirements, assist in developing pursuit production plans, and contribute to deliverables calendars.
      • Collaborate with the Proposal Manager to coordinate the development of response materials with subject matter experts and other team members.
    • Lead compelling written content creation under the guidance of the Proposal Manager.
      • Ensure content aligns with submittal requirements and is easily understood by selection panels.
      • Work with the Proposal Manager to incorporate creative elements.
    • Assist in developing Proposal Content.
      • Participate in strategy and messaging workshops, helping translate information into engaging content using graphics, case studies, and imagery.
      • Work with the Proposal Manager to represent technical data, metrics, and other information.
    • Coordinate the development and production of response materials.
      • Work with assigned team members like technical writers and subject matter experts to gather information and prepare content.
      • Assist the Proposal Manager in collaborating with Marketing and Graphic Design team members for visual elements.

      • Utilize exceptional organizational and communication skills to seamlessly collaborate with colleagues.
      • Work effectively with the Proposal Manager, subject matter experts, and other team members to translate complex information into compelling and compliant proposal documents under strict deadlines.
    • Internal data and resource management.
      • Updating internal information, including resumes, project descriptions, graphics, templates, the CRM system, and other content archives.
  • Marketing Focused:
    • Content development.
      • Develop and maintain marketing materials (brochures, flyers, website content, social media posts).
    • Campaign Execution.
      • Assist with the creation of marketing campaigns and strategies.
    • Performance tracking.
      • Track and analyze marketing metrics to measure effectiveness.
    • Brand Management.
      • Ensure all materials uphold company brand standards and support brand development.
    • Visual Communication.
      • Provide graphic design assistance to the Proposal Manager for visually compelling proposals and presentations.

Basic Qualifications

  • An Associates or Bachelor's Degree in Communications, Journalism, English, Business, Marketing, Construction Management, Engineering, or other applicable related field, or equivalent combination of education and experience.
  • Minimum 4 years of demonstrably relevant experience leading and developing submittals, marketing materials, graphics, and other content using Adobe Creative Cloud and Microsoft Office.
  • Demonstrated ability to manage multiple tasks effectively, prioritize workloads, and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills to collaborate clearly and concisely with a diverse team of colleagues and clients.
  • Proficiency in Adobe Creative Cloud, particularly InDesign, Illustrator, and Photoshop.
  • Proficiency in Microsoft Office products (Word, Excel, PowerPoint, Teams, PowerBI, etc.)
  • Must be able to produce high-quality deliverables under strict deadlines.
  • Must be able to work in an office setting in Phoenix, AZ or Broomfield, CO.
  • Must submit a resume and previous work examples to be considered.

Preferred Qualifications

  • Proposal coordination experience in the architecture, engineering and construction (A/E/C) industry involving large projects ($100M+).
  • Basic knowledge of water/wastewater treatment processes and terminology.
  • Competitive and driven to continuously improve processes and content to develop winning submittals.
  • Passion for learning and identifying new ways to display information and improve our pursuit and marketing materials and implementing new technologies to differentiate from competitors.
