About the Role

MWH is currently seeking an Estimating Coordinator to join our Estimating team in Phoenix, AZ. The Estimating Coordinator provides essential administrative support to the Estimating Department, ensuring efficient workflow, accuracy of documentation, and timely delivery of bid packages. This role supports our construction projects by coordinating preconstruction documents, tracking bid timelines, and assisting estimators in preparing and submitting bids.

Essential Functions

  • Prepare, format, and organize bid documents, including RFIs, RFPs, and bid proposals.
  • Maintain bid calendars, ensuring all deadlines and milestones are met.
  • Track bid progress, updating the team on status(es) and notifying them of any changes or updates to bid requirements.
  • Input and maintain accurate project data in estimating software and databases.
  • Generate regular reports on project bits, timelines, and outcomes.
  • Maintain electronic and physical filing systems for all bid-related documents.
  • Co with subcontractors and suppliers to request and gather quotes and pricing information.
  • Communicate updates and requirements to the estimating team, assisting with bid review meetings and coordinating deliverables.
  • Act as liaison between the estimating team and other departments (such as project management and finance) to facilitate a seamless handoff post-award.
  • Prepare presentations, documents, and reports for internal and external meetings.
  • Assist in formatting, proofreading, and ensuring accuracy on bid packages.
  • Manage office supplies, meeting schedules, and other administrative tasks as needed.

Basic Qualifications

  • High School Diploma/GED required; associate’s or bachelor's degree in construction management, business administration, or a relayed field preferred.
  • Minimum 1-2 years administrative experience in a support role, preferably in construction or a related industry; experience with estimating or bid presentation a plus.
  • Proficiency ion MS Office Suite (Word, Excel, PowerPoint).
  • Familiarity with estimating software a plus.
  • Strong organizational skills, with attention to detail and the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Attention to detail to ensure accuracy in documentation and data entry.
  • Time management to manage multiple tasks and deadlines efficiently.
  • Team collaboration and the ability to work effectively with estimators, subcontractors, and other team members.
  • Problem solving skills to identify and address administrative issues proactively.
